Reviewing a locum's renewal credential documents

Previously, when a locum uploaded a renewal credential document before the current one expired, it automatically triggered a Pending Verification status. The platform now separates the active credential from the renewal meaning you can review and action the renewal independently without affecting the locum's active compliance status.

Understanding the credential display states

In Date: Current, in-date and active credential. Valid and counting towards compliance status. No action needed unless something looks incorrect.

Upcoming: A renewal document has been uploaded and is awaiting your review. The locum's current credential is still in date and their status is unchanged. This is your actionable item. Review before the current credential expires so the locum’s compliance remains unchanged during the handover.

Expiring soon: The current credential is approaching expiry. If there is also an Upcoming renewal in the queue, prioritise the review. If no renewal has been uploaded, the locum may need prompting.

Expired (read-only): The credential has passed its expiry date. Two most recently expired credentials are retained at the bottom of the list for audit purposes.

How to review a renewal

  1. Open the Compliance section in the locum's profile.

  2. Find the credential type with an Upcoming renewal.

  3. Review using the standard Verify / Reject / Message workflow.

  4. Any action you take applies only to the renewal. The locum's overall compliance status is unaffected while their current credential is valid.

Once the current credential expires, the approved renewal becomes active automatically.

When to prioritise

If you see both an Expiring Soon tag on the In Date credential and an Upcoming renewal in the queue, act now. The renewal must be verified before the current credential expires for status-preservation to apply. If this is not done, the locum’s status will move to “Awaiting Credentials”.

FAQs

Q: Does Upcoming mean the renewal is approved?

A: No. It means the renewal document has been uploaded and awaiting your review, it is not yet verified.

Q: I rejected a renewal. What happens?

A: The locum's current credential stays active if still valid. The rejected renewal moves to read-only. The locum must upload a new version.

Q: Will we still receive expiry notifications for locums who have a pending renewal?

A: Yes, until the renewal is verified. Once verified, expiry reminders are suppressed.

Q: Does this apply to DBS or identity documents?

A: No. DBS and identity documents are not part of this update. Those credential types cannot currently have multiple versions.
