Cancellation records and the late cancellation flag: a guide for companies

What can I see? Every cancellation a locum has made on your shifts in the last six months, on their profile. Each one is grouped by how much notice you were given.

Company cancellations

Every entry shows the date, the notice, the reason the locum chose, the note they wrote, who cancelled it and when.

What is the flag? This is where a locum has cancelled six or more of your shifts with 48 hours' notice or less in the last six months, you'll see "6+ late cancellations in 6 months" on their applicant card and profile.

Why don't most locums have one? Because it's set at a level that marks a clear, repeated pattern rather than labelling everyone. Six late cancellations with one company in six months is roughly one a month. Most locums will never get near it, and no flag is shown for locums who don't meet it.

Is it a rating? No. There are no levels, scores or grades. There is a record of what happened, and one flag for repeated late cancellations.

Where does it appear? Applicant cards (shift and block) and the locum profile.

What counts toward the six cancellations?

  • Late cancellations made by the locum

  • Late cancellations you record on the locum's behalf

What doesn't count towards the flag?

  • Any cancellation with more than 48 hours' notice

  • Cancellations you make yourself. Those are recorded separately and never get recorded against a locum

FAQs

Q) A locum has five late cancellations and no flag. Is that right? Yes. The flag marks six or more. All five are still in their record with the notice, reason and note on each, so you have everything you need to make your own call.

Q) What if I cancel on a locum's behalf? The form asks who is cancelling. Choose Locum only when you're genuinely cancelling for them. Selecting this is what records it against them. Republish Shift is a separate tick that makes no difference to the record, use it whenever you still need the shift covered.

Q) What if a locum cancels a whole block? Each shift is recorded as its own cancellation and grouped on its own notice.

Q) Does the flag ever clear? Yes, on its own. Each cancellation counts for six months. Once a locum drops below six in the window, the flag comes off automatically.

Q) What happens when a locum cancels within 48 hours? They can't take any other shift starting that same day, anywhere on the platform. They can return to the shift they cancelled, but only at the rate you'd already agreed.

Q) What about mandatory blocks? Shifts in a mandatory block, and the block as a whole, can't be cancelled by a locum in the app or on the web. They're shown your branch number and asked to call. Optional blocks and single shifts are unaffected.

Important to Note:

The record informs your decision, it doesn't make it. You see the notice, the reasons and the notes, plus how many shifts that locum has worked for you. A healthy locum pool is in everyone's interest, and this is built to keep it that way.
