Overview
Automated Invoices shows invoices generated within Locate a Locum for approved shift payments or expenses where the customer uses Automated Payments.
You can view invoice statuses, open and download individual invoices, and export invoice records.
Customers that require you to invoice manually will not appear here. For more information, see Payments, Invoices & What Happens Next.
Open Automated Invoices
Open My Shifts from the main navigation.
Select the Finance tab.
Under Invoices, tap Automated Invoices.
You’ll see three tabs:
Processed
Reconciled
Rejected
Standard users can access invoice information in Processed and Rejected. Reconciled is a LAL Pro feature.
View and manage automated invoices
The three tabs show different stages of your automated invoices:
Processed — invoices that have been generated for approved shift payments or expenses. Processed does not mean payment has already been made; check the paying company’s payment terms.
Reconciled — invoices that have been marked as paid. Reconciliation is available with LAL Pro.
Rejected — invoices or payment records that could not be processed successfully and may require review.
Each invoice title is displayed as a hyperlink. Tap the invoice title to open the invoice in full.
From the full invoice view, select the Download icon to download the invoice as a PDF.
To narrow the invoices shown, select Filter. Available filters include:
Sort By
Date
Company
Invoice Number
Payment Type
For Sort By, choose Newest Date or Oldest Date.
Export automated invoices
You can export invoice records using Options.
With no invoices selected, choose Options → Export All.
To export specific invoices, select the relevant checkboxes and choose Options → Export Selected.
The export will download immediately.
Common questions
Does Processed mean paid?
No.
Processed means the automated invoice has been generated for approved shift payments or expenses.
Payment timing depends on the paying company’s payment terms.
Why can’t I mark an invoice as reconciled?
Marking an invoice as reconciled is a LAL Pro feature.
Standard users can still view their automated invoice information, but reconciliation tools require LAL Pro.
For full instructions, see Mark an invoice as reconciled on LAL Pro.
Why has my invoice been rejected?
The Rejected tab shows automated invoices or payment records that could not be processed successfully and may require review.
Check the invoice details and make sure your finance settings are up to date. For full steps, see Update your payment and finance settings in the app.
Why can I only see Export All?
Export Selected becomes available once you select one or more invoice records using the checkboxes.
If no records are selected, Options will show Export All only.
Why are no invoices showing?
Check that you are viewing the correct tab and review any filters currently applied.
You should also check whether the customer uses Automated Payments. Bookings where you need to send a manual invoice will not appear in Automated Invoices.
