How to Complete Your Identity & Right to Work Verification

This article explains how to complete your identity and Right to Work verification using the Locate a Locum mobile app. It covers what documents you need, how the automated verification works, and what to do if you need additional Right to Work evidence.

1. Why identity verification checks are changing

This update improves:

Speed — verification can be completed in minutes

Accuracy — no more blurry uploads or manual checks

Consistency — all locums follow the same process

Security — biometric verification reduces fraud

The new process ensures every locum follows the same identity check procedure while meeting the legal Right to Work rules for the country where they live.

2. What you will always need

Every locum, regardless of residency or passport:

  • Needs a valid passport

  • Must complete a biometric selfie match

  • Must verify through the Locate a Locum mobile app

Please note, driving licences are no longer accepted for verification

3. Why residency matters

Right to Work laws differ between:

  • The Republic of Ireland (ROI)

  • The United Kingdom (UK)

  • The Crown Dependencies (Jersey, Guernsey, Isle of Man)

So a locum’s Right to Work requirements depend on:

  1. Residency (your address)

  2. Passport type

The Locate a Locum app applies the correct rules.

4. RTW Requirements by Residency

A. If you live in the Republic of Ireland

Irish or British passport:

✔ Nothing further required. You are RTW-cleared automatically.

Any other passport:

⬆ You must upload RTW documents using the uploader.

(Examples: Stamp permissions, employment permits)

B. If you live in the United Kingdom

British or Irish passport:

✔ No RTW evidence required.

Any other passport:

You must provide a Home Office Share Code.

C. If you live in Jersey, Guernsey or the Isle of Man (Crown Dependencies)

All passport types:

Right to Work evidence must be uploaded.

This is because Crown Dependencies have their own RTW systems that differ from both the UK and ROI.

5. How Automated Verification Works

Step 1 — Documents Required Checklist

Before you begin your automated identity checks, please ensure you have the following items ready:

  1. A device with a camera

  2. Passport

  3. Proof of your Right to Work (if not a British or Irish citizen)

  4. Police Check credentials

  5. Indemnity Insurance

Step 2 — Legal Check

Complete a quick legal check.

Please answer questions truthfully.

Step 3 — Passport scan

Before scanning passport, you need to select your issuing country using the selector.

Find a well lit area, ensure all details of the passport are sharp, within the frame and not covered.

The verification system checks the authenticity and security features of the passport.

The passport scan typically takes less than a minute to upload.

Step 4 — Selfie | Face Scan

Position your face within the frame and hold steady for the selfie scan.

This helps to confirm your ID matches you.

Step 5 — Upload Compliance Documents

Once you have completed the face scan, you can upload your other compliance documents:

  • Police Checks

  • Indemnity Insurance

Step 6 — Right to Work Requirements

Based on your residency and passport type, the app routes you to:

  • No further action, OR

  • Share Code upload, OR

  • Right to Work document upload (via uploader)

You don’t need to decide anything, our system chooses the correct path.

To view Right to Work status, follow the path below:

  • Click "More" in the bottom right corner

  • Select "Compliance Credentials" listed under "My Profile"

  • Right to Work status will be listed here (not applicable to British or Irish citizens)

Step 5 - Done! Process Complete.

You have now completed the automated identity verification process.

Once our team have approved your documents, you will be able to book shifts via the Locate a Locum app.

Q) My document won’t scan

Q) Do I need a passport?

  • Yes, a passport is the only form of identification acceptable.

Q) Can I complete this verification on the website?

  • No. Verification is mobile-only, the web upload tool has been removed.

Q) Why has the web compliance page been removed?

  • All compliance checks now happen in the app for better speed and security.

FAQs for Employers

Q) Do employers need to use / download the automated system?

  • No. The ID checks happen within the Locate a Locum app and will be for locums only. As an employer, you do not need an account or any new tools.

Q) Does this change how employers verify locum’s compliance?

  • No. Compliance information will still appear in the dashboard exactly as before. The biggest difference you will notice is how quickly locums become verified.

Q) Will this speed up how fast locums become bookable?

  • Yes. With the new automated ID and Right to Work verification, locums move to a “compliant” status much quicker.

Q) How will the locum’s data be protected?

  • All identity data is handled securely and stored in line with GDPR and Home Office standards. Employers do not receive any additional personal data.

Q) Will employers see anything different in the platform?

  • No UI / platform changes will be made for employers.

Q) What happens if a locum fails automated ID verification?

  • Locate a Locum will guide the locum through a fallback process. This may include manual checks from the Locate a Locum team.
