How to Post Gaps

The Post Your Gaps feature lets you publish available shifts (gaps) for locums to apply for. You can create gaps manually for a single store location or use the Gap Uploader to bulk create gaps across multiple locations.

Steps

Post Gaps for a Single Store Location

  1. Go to Post Your Gaps
    From the main navigation panel, select Post Your Gaps.

  2. Choose cover type and location

    • Select the Type of Cover from the dropdown.

    • Select the Location from the dropdown.

3. Select dates
Click on the calendar dates where you want to create gaps.

  • A yellow shift cell will appear with pre-populated details from the location’s default settings.

4. Publish the shift(s) (default)
If the pre-populated details are correct, click the green Publish X Shifts button.

5. Edit shift details (optional)

  • Click the yellow shift cell again to open the edit modal.

  • In the Shift Details tab, update:

  • Position, Start Time, End Time, Labels & Reason Codes (dropdowns).

  • Hourly Rate and Unpaid Break (free text or arrows).

  • Enable Negotiations (check or uncheck).

6. In the Shift Notes tab:

  • Click Add → choose Internal or Public.

  • Enter the note and click Add.

7. Add requirements (optional)

  • Navigate to the Requirements tab.

  • Click the dropdown menu and select one of the preconfigured options.

  • Click Save Changes, then click Publish 1 Shift (or Publish X Shifts if posting multiple).

8. Confirm publication

Review the summary and click Yes, Publish.


Bulk Create Gaps Using the Gap Uploader

  1. Access the Gap Uploader
    On the Post Your Gaps page, click Upload Spreadsheet (top right).

2. Download and complete the template

  • Click Download Template.

  • Populate the spreadsheet following the Example File Format.

Available Fields:

Mandatory columns

  • Branch Number → specifies the location reference for the shift.

  • Job Type → specifies the job type (must use approved abbreviations — click the “i” icon for the list).

  • Date → the date the shift is required.

  • Start Time → the time the shift starts.

  • End Time → the time the shift ends.

  • Hourly Rate → advertised hourly rate of payment.

  • Unpaid Break → total unpaid break minutes for the shift.

Optional columns

  • Negotiable → mark if the shift should be created as negotiable.

  • Notes → add additional notes for the shift.

  • Count → specify the number of shifts to create/update (default is 1 if blank).

  • Reason Code → specify the reason code for creating the shift.

  • Shift Requirements → specify preconfigured requirements the shift should be created with.

4. Upload your file

  • Under Gap File, click Choose File to upload.

  • Set Clash Mode:

    • Ignore → leave existing shifts unchanged.

    • Always Update → overwrite existing shifts.

    • Update If Counts Match → update only if counts align.

5. Publish shifts
Click the green Publish button.

6. Check upload results

  • Go to the Upload Results tab.

  • Review File Name, Status, and Result.

  • Use the available Actions to review or manage results.


Additional Information

  • Internal notes are visible only to your organisation. Public notes are visible to locums.

  • Bulk uploads require exact formatting to process successfully. Always use the official template.

  • Any errors during upload will be flagged with the exact row and column where the error occurred, along with the type of error.


Troubleshooting

  • My file upload failed: In the Actions column, select View Results. Apply the filter to Show Errors. The system will then flag the exact row and column where the error occurred, along with the type of error.

  • I can’t find my Job Type in the template: Click the “i” icon in the Gap Uploader to view supported Job Type abbreviations.
