Lite - How to Post Gaps

A step-by-step guide detailing the process to create gaps across a single store location & how to utilise the ‘Gap Uploader’ to bulk create gaps across multiple store locations.

Firstly, you will need to navigate to the ‘Post Your Gaps’ tab located on the top left hand side of the main navigation panel.

On the ‘Post Your Gaps’ screen you will be required to select the relevant ‘Type of Cover’ & ‘Location’ from the applicable drop down menus.

You will then be able to select the relevant dates for the gaps you wish to create by simply clicking on the dates within the calendar view.

A shift cell will then display in yellow within the calendar view with pre-populated shift details based on the selected location's configurations. If you're happy with the shift details at this stage you can post your gap by selecting the green ‘Publish 1 Shift’ button displayed above.

If you wish to edit the shift details simply click again on the shift cell displayed within the calendar view.

The modal will then display on the ‘Shift Details’ tab, here you can update information such as ‘Position’, ‘Start Time’ & ‘End Time’ by selecting the relevant options from the applicable drop down menus.

You can also make edits to the ‘Hourly Rate’ & ‘Unpaid Break’ by simply free texting in or utilising the arrows provided to populate. To enable or disable negotiations for this shift simply check or uncheck the ‘Enable Negotiations’ check box provided.

If you navigate to the ‘Shift Notes’ tab:

You will be able to add a shift note, by clicking on the ‘Add’ button. Once selected, you’ll be able to choose between creating an ‘Internal’ or ‘Public’ shift note.

Simply free text to populate the note, before selecting the green ‘Add’ button to create.

Once you’re happy with the changes made select the green ‘Save Changes’ button. Once saved, select the green ‘Publish 1 Shift’ button.

You will then be provided with a summary of the shifts your are about to publish, to proceed click on the green ‘Yes, Publish’ button.

Gap Uploader

To access the ‘Gap Uploader’ from the ‘Post Your Gaps’ screen click on the option to ‘Upload Spreadsheet’ displayed in the top right-hand corner of the screen.

On the ‘Gap Uploader’ screen you will see the option to ‘Download Template’.

Download and populate this template with the same format as displayed in the ‘Example File Format’.

Please Note:

  • The ‘Branch Number’ is used to specify the location reference the shift(s) should be created with.

  • A full list of supported ‘Job Type’ abbreviations can be found by clicking on the ‘i’ icon.

  • The ‘Count’ column is an optional column used to specify how many shifts should be created/updated from this row. The default value is 1.

Once populated, reupload the file by selecting ‘Choose File’ under the ‘Gap File’ heading.

You can also decide how to handle clashing shifts by editing the ‘Clash Mode’ by selecting either ‘Ignore’, ‘Always Update’ or ‘Update If Counts Match’ from the available dropdown menu.

Once populated, you can select the green ‘Publish’ button.

You can also check your ‘Upload Results’ by selecting the ‘Upload Results’ tab.

Once selected, you will see the ‘File Name’, ‘Status’ & ‘Result’ of your upload. You’ll also have the following ‘Actions’ available:
