How to Add Leave to an Employee Rota

A step-by-step guide on how to add leave to an employee rota.

Once you log into your profile, you will need to navigate to the ‘Rota’ tab located on the top left-hand side of the below screenshot.

Once you select the ‘Rota’ tab the following screen will appear:

In the above screenshot, you will see that you can manipulate the Rota by ‘Dates’, ‘Location’, ‘Job Types’ & ‘Labels’. You will also note the ability to change the calendar view in Rota by selecting ‘Day’, ‘Week’, or ‘Month’.

Once you are happy with the filters that you’ve applied, scroll down to the calendar view. At this stage, if you hover over the ‘+’ (Plus) icon located in the row associated with the user you wish to add leave for, you’ll see the option to ‘Add Shift’ or ‘Add Leave’. At this stage you’ll select ‘Add Leave’.

Once you select the option to ‘Add Leave’ the following modal will appear:

On this screen, you will select the leave type from the available drop-down menu. Once selected click on the green ‘Next’ button located in the bottom right corner of the screen to display the following screen:

On this screen, you will be able to select the relevant dates that the user will be on leave. Once you have selected the appropriate dates select the green ‘Next’ button to display the below screen:

On this screen you’ll note the hours propulated will be based on shift times, any unpaid breaks will automatically be deducted from this total. You can edit this information should you be required.

Once you’re happy with the information select the green ‘Submit’ button on the bottom right-hand corner to save the changes. The changes will then be reflected in the ‘Rota’ calendar as displayed below for ‘Darren Driver’ on ‘Thu 09 Jun’.
