How to add leave to an employee’s rota

Use this guide to add leave directly from the Rota screen.

Before you start

  • Access is permissions-based. If you can’t add leave from Rota, ask a Company Admin.

Steps

  1. Open Rota
    Go to Rota from the main navigation. Use filters (Dates, Location, Job Types, Labels) to find the correct day.

2. Create a leave entry
In the employee’s row on the target date, hover and click + → choose Add Leave.

3. Choose leave type
Select the Leave Type (e.g., Sick Leave, Holiday) → Next.

4. Pick dates
On the calendar, select the start and end dates → Next.

5. Review & submit
On the summary screen:

  • Adjust Start Time/End Time if needed.

  • (If authorised) set Approval Status = Approved.

  • Click Submit (green).
    The leave will appear on the Rota.

Tips

  • Check the employee’s leave balance before approving to avoid negative balances.

  • Use consistent Leave Types and Labels to keep rota and reports clean.

Troubleshooting

  • Can’t see “Add Leave”: You may lack permissions, contact a Company Admin.

  • Next is disabled: Ensure a Leave Type and valid dates are selected.
