How to Manage Leave Requests

A step-by-step guide on managing employee leave requests.

Once you log into your profile, you will need to navigate to the ‘Leave’ tab located on the top right-hand side of the below screenshot.

Once you select the ‘Leave’ tab the following screen will appear:

Here you will note there are two tabs on the top left-hand side ‘My Leave’ & ‘Staff Leave’. The tab ‘Staff Leave’ is where, as an employer, you can manage all staff leave requests. Once you select ‘Staff Leave’ the following screen will display:

To approve pending leave requests simply click the green ‘Manage’ button located in the ‘Actions’ column. The below screen will then appear:

As a Leave Editor, here you can adjust the ‘Leave Date’, ‘Affected Balance’ & ‘Status’ etc. There is also the ability to see if any other staff are off on the requested dates. If you select ‘0 Staff Also Off in All Locations’ or select a specific location, the following screen will appear:

Once you’re happy with the request, select the green ‘Approve’ button. This will remove the pending request, notify the employee & update the relevant balances.

Submit Leave on Behalf of an Employee

This feature allows employers/ Leave Editors to submit leave on behalf of an employee. This could be useful in several scenarios - for instance, if an employee was incapacitated.

To do this, simply navigate to an employee using the drop-down menu under the ‘Employee’ Tab:

Once you have selected the employee, click the green ‘Request Leave for Employee’ button. The following screen will then display:

On this screen, you will select the leave type from the available drop-down menu. Once selected click on the green ‘Next’ button located in the bottom right corner of the screen to display the following screen:

On this screen, you will be able to select the relevant dates that the user will be on leave. Once you have selected the appropriate dates select the green ‘Next’ button. To display the below screen:

You’ll note on this screen you can automatically approve these requests, as they’ve been created by the ‘Leave Approver’.

Select the green ‘Submit’ button to save these changes. Changes will be reflected on Rota and the users ‘Holiday Balance’.
