How to manage leave requests (approve, bulk approve, submit on behalf, cancel)

Use this guide to manage Pending requests, approve in bulk, submit leave on behalf of an employee, and cancel previously approved leave.

Before you start

  • Access is permissions-based. If you can’t see or manage requests, ask a Company Admin.

Open Staff Leave

  1. Go to Leave from the main navigation.

  2. Select the Staff Leave tab (defaults to Pending requests).


Approve an individual request


  1. Find the request → click Manage (green) in Actions.

  2. Review details; (optional) click X Staff Also Off to check conflicts.

  3. Click Approve (green) or Reject. The employee is notified automatically.


Approve multiple requests (per employee)

  1. In Staff Leave, set Status = Pending.

  2. Choose the Employee from the filter dropdown.

  3. Tick the checkboxes for the requests you want to process → click Manage All.

4. Update fields as needed (e.g., Start/End Time, Hours, Type, Affected Balance, Status, View Notes).

5. Click Approve (green) to confirm.


Submit leave on behalf of an employee

  1. In Staff Leave, select the Employee from the filter.

  2. Click Request Leave for Employee (green).

  3. Choose Leave Type → Next.

4. Select start and end dates on the calendar → Next.

5. (Optional) Set Status = Approved if your policy allows → Submit (green).

  • Balances and the Rota update automatically.


Cancel (reject) a previously approved request

  1. In Staff Leave, set Status = Approved.

  2. Find the request → Manage (green).

  3. Click Reject to cancel; the employee’s balance updates.


Tips

  • Use X Staff Also Off before approving to avoid coverage conflicts.

  • Bulk-approve per employee to speed up processing after schedule reviews.

  • Follow your policy: only set Status = Approved on creation if you’re authorised to bypass standard approval.

Troubleshooting

  • Manage/Manage All not visible: You may lack permissions or the request status doesn’t match your filters.

  • Request Leave for Employee is greyed out: Ensure you have selected an employee from the drop down menu.
