How to change your Rota view (Day, Week, 5-Week, Month & Comparison)

Use this guide to switch rota views and compare schedules across locations to spot and fill gaps quickly.

Steps

  1. Open Rota
    Go to Rota from the main navigation (left side).

  2. Choose a calendar view

  • Day — focuses on a single day’s schedule.

  • Week (default) — shows the current week.

  • 5-Week — shows the next five weeks from the selected start date.

  • Month — shows a single calendar month.
    Click the desired tab to switch view.

3. Use Comparison view (multi-location)

  • Select Comparison to view multiple locations side-by-side.

  • Expand a location using the dropdown beside its name to show that site’s rota for the week.

  • Gaps are highlighted by job type:

    • Navy “P” = live Pharmacist gap with an open shift already created.

    • Red “P” = Pharmacist rota gap where no open shift exists yet.

  • Note: The letter updates based on the job type you’re viewing; “P” is shown here as an example.


4. Fill gaps from Comparison view

  • Create & assign directly to a specific employee: click the + next to their name.

  • Create an open shift for others to pick up: click the “P” icon.

  • Shift details pre-populate from the location’s configuration—you can edit before saving.

Tips

  • Use 5-Week view to plan ahead across rolling weeks; it’s often more practical than Month (which is limited to a single calendar month).

  • Switch to Week/Day for final staffing detail and last-minute adjustments.

  • In Comparison, filter to the busiest or under-staffed locations first to speed up identification & coverage.

Troubleshooting

  • Pre-populated details look wrong: Update the location’s configuration, or edit the shift in the modal before saving.
