Before you start
Access is permissions-based. If you can’t see reassign options, ask a Company Admin.
Steps
Open Rota
Go to Rota from the main navigation.
2. Find the shift
Filter by Date, Location, or Job Type to locate the shift.
3. Open the shift menu
In the shift cell, click the downward arrow (top-right) to open the dropdown.
4. Choose Reassign Shift
Select Reassign Shift.
5. Pick Employment Status
Choose Employee or Locum.
If Employee:
Search and select the employee.
(Optional) Tick Notify Employee to send an update.
Click Confirm (green).
6. If Locum:
Select the Position.
Search and select the locum.
(Optional) Update Candidate Source and Hourly Rate.
Click Confirm (green).
Tips
Use filters first to reduce scrolling and avoid reassigning the wrong shift.
For locums, confirm Hourly Rate before assigning.
Use Notify Employee when reassigning to staff to minimise missed changes.
Troubleshooting
Reassign option not visible: You may lack permissions or the shift is locked; check with a Company Admin.
Can’t find the recipient: Confirm they’re active and eligible for the Position.
