Before you start
Access is permissions-based. If you can’t add or edit shifts, ask a Company Admin.
Create a new overtime shift
Open Rota
Go to Rota from the main navigation.
2. Filter Calendar View
Filter by Date, Location, or Job Type to locate the shift you want to mark as overtime.
3. Pick employee & date
Scroll to the employee, hover over the + on the target date, and select Add Shift.
4. Mark as overtime
Tick Is Overtime.
Select an Overtime Type from the dropdown.
This list appears only when Payroll Categories are configured; options come from those categories.
5. Save
Click Create & Publish (green). The shift is now marked as overtime.
To remove overtime, reopen the shift menu, untick Is Overtime, and save.
Mark an existing shift as overtime
Find the shift
In Rota, locate the shift you want to update.
Open editor
Click the shift cell to open the edit modal.
Mark as overtime
Tick Is Overtime.
Select an Overtime Type from the dropdown.
4. Save
Click Save Changes (green).
Tips
Use filters first to avoid editing the wrong shift, especially in Week or 5-Week views.
Default overtime type - If one overtime type is used most often, set it as your default. You can override the type when editing individual shift details.
Troubleshooting
Can’t see Overtime Type: Your account may not have Payroll Categories enabled; contact a Company Admin.
