Configure Regions (add locations, approval rate, negotiations)

Use this guide to create and manage Regions—including associating locations, setting an Approval Rate, and capping Negotiations.

Before you start

  • You’ll need permission to manage regions.

  • Extra permissions may be required to configure Approval Rate and Negotiations.

  • If you don’t have access, ask your Company Admin, or click the chat button in the bottom-right corner to contact support.


Add a new Region

  1. Open Settings
    Click the cog icon (top-right) → select Regions.

  2. Create Region
    Click the green Add button (top-right).

  3. General tab

  • Name (required): enter a clear region name.

  • External Payment Reference (optional).

  • Approval Rate (optional): set the hourly rate threshold.

    • Shifts cannot be advertised/ booked above this rate without approval.

4. Locations tab

  • Tick the checkboxes beside the locations to include in this Region.

  • Use the search under “Available” to find locations by name.

5. Negotiations tab

  • Toggle Negotiations On/Off for this Region.

  • Set Max Negotiation Rate: caps how much a locum can request above the posted rate.

  • Set Minimum days before shifts are made negotiable: choose when negotiations are enabled by the system relative to the shift date.

6. Save
Click Save (green button).


Edit or delete a Region

  • In Regions, use the Actions column:

    • Cog icon → Edit Region details, locations, or negotiation settings.

    • Bin icon → Delete a Region that’s no longer needed.


Tips

  • Naming: Use a clear convention (e.g., England - North East).

  • Locations: Keep Region-location mapping tidy—avoid overlapping Regions unless intentional.

  • Negotiations: Encourage more locum applications and boost visibility—especially for emergency shifts or hard-to-fill areas.


Troubleshooting

  • Can’t see “Regions”: You may lack permissions. Ask your Company Admin or use the chat button (bottom-right) for support.

  • Negotiations tab missing: Your role might not include negotiation settings; request access from your Company Admin or use the chat button (bottom-right) for support.
