How to Copy Week — extend your rota (full schedule or single employee)

Use this guide to copy an entire week’s rota for all staff or copy a single employee’s weekly schedule.

Before you start

  • Access is permissions-based. If you can’t see copy options, ask a Company Admin.

Copy a full week for all staff

  1. Open Rota
    Go to Rota from the main navigation.

2. Open copy menu
Click the downward arrow beside the view tabs (Day / Week / Month / 5-Week).

3. Choose Copy Full Week
Select Copy Full Week from the dropdown.

4. Set source & destination weeks

  • Week to Copy: choose the source week.

  • Destination Week: choose the week to populate.

5. Repeat (optional)

  • Tick Repeats? to extend beyond the destination week, then either:

    • Enter the frequency & number of weeks to repeat, or

    • Choose an End date.

6. Include Locum Shifts (optional)

  • Tick Include Locum Shifts if you want to duplicate locum shifts.

  • Note: If a locum is already booked on a destination day, that day won’t be copied for that locum.

7. Copy
Click Copy (green) to create the shifts.


Copy a single employee’s week

  1. Open the employee menu
    In the rota Calendar view, on the employee’s row click the downward arrow (top-right of the row).

2. Choose Copy Week
Select Copy Week.

3. Set source & destination weeks

  • Confirm Week to Copy and select Destination Week.

4. Repeat (optional)

  • Tick Repeats?, then set the frequency & number of weeks or select an End date.

5. Copy
Click Copy (green).


Tips

  • Use Week to Copy that you’ve already quality-checked to reduce edits after copying.


Troubleshooting

  • Copy options not visible: You may lack permissions or be on a restricted view—ask a Company Admin.

  • Some shifts didn’t copy: A user may already be booked on that day; those entries are skipped by design.
