To use the ‘Copy Week’ functionality to extend your rota, you will need to navigate to the ‘Rota’ tab located on the top left-hand side of the below screenshot.
Once you select the ‘Rota’ tab the following screen will appear:
Copying a Week Rota for All Staff:
At this stage you will select the ‘downward arrow’ button, this will give you the option to ‘Copy Full Week’ or ‘Bulk Delete Shifts’ as shown below:
At this stage, you will select ‘Copy Full Week’. Once selected the following screen will display:
At this point, you must choose which week you want to copy and the destination week you are looking to populate with shifts.
You’ll also note the check box option besides ‘Repeats?’. Select this should you wish for the copying of the shifts to be extended further. If selected the below will display:
Here you can manually edit the total number of weeks you wish for this rota to repeat. This can be done by free texting or utilising the arrows to populate.
You’ll also note the ‘Include Locum Shifts’ check box, check this if you also wish to duplicate the Locum shifts within your ‘Rota’. It’s worth noting that if a locum is already booked in for a shift on days included in the destination week(s) these days will not be copied.
Once you are happy with the edits you have made, select the green ‘Copy’ button. At this point, you will then be directed back to the rota calendar view.
Copying a Single Employee’s Weekly Rota:
To copy an employee’s rota, you’ll need to click on the downward arrow located on the top right-hand side of the employee’s cell within the calendar view. Once selected the following options will appear:
At this stage, you’ll select the option ‘Copy Week’. Once selected the below modal will appear:
Here you’ll be required to populate the ‘Destination Week’. You can also check the ‘Repeats’ check box to extend the Rota beyond the destination week. Once check the modal will display as follows:
Here you can manually edit the total number of weeks you wish for this rota to repeat. This can be done by free texting or utilising the arrows to populate.
Once you’re happy with the information populated click on the green ‘Copy’ button.
