How to fill a gap with relief staff (Comparison View)

Use this guide to find an available relief worker in Comparison view and create/assign a shift to cover the gap.

Before you start

  • Access is permissions-based. If you can’t add or assign shifts, ask a Company Admin.

Steps

  1. Open Rota
    Go to Rota from the main navigation.

2. Open Comparison view
Click the Comparison tab (top of the screen).

3. Locate gaps

  • Select the Location(s) or Region(s) you want to review.

  • Expand a site using the dropdown beside its name to show that location’s rota for the week.

  • Gap indicators by job type:

    • Navy “P” = live Pharmacist gap with an open shift already created.

    • Red “P” = Pharmacist rota gap where no open shift exists yet.

  • The letter changes with job type; “P” is used here as an example.


4. Identify relief availability
Click See X available relief staff (downward arrow) to view where associated relief staff are scheduled that week and their availability.

5. Create & assign the shift

  • Click the Red “P” to open the open shift modal.

  • Review Shift Details (details auto-load from the location’s configuration) and adjust if needed.

  • Go to Assign Person → set Employment Status = Employee → search and select the available relief staff member.

  • (Optional) Tick Notify Employee to inform them of the new shift.

  • Click Create & Publish (green).

Tips

  • Use Region + Job Type filters first to focus on problem areas.

  • If multiple gaps exist, handle the Red “P” items first (no open shift yet) to get them live quickly.

Troubleshooting

  • Comparison tab missing: You may lack access to multi-location views—ask a Company Admin.

  • No available relief staff listed: Broaden the Region/Location scope or check the job type configuration to ensure relief staff check box enabled.

  • Times look incorrect: Edit in the modal; site configurations vary.
