How to Edit Employee Shifts from the Rota

A complete guide on how to edit employee shifts including changing the shift location & reassigning the shift.

Once you log into your profile, you will need to navigate to the ‘Rota’ tab located on the top left-hand side of the below screenshot.

Once you select the ‘Rota’ tab the following screen will appear:

In the above screenshot, you will see that you can manipulate the Rota by ‘Dates’, ‘Location’, ‘Job Types’ & ‘Labels’.

When you’ve located the shift that you wish to edit, simply click on the display for that shift within the calendar. The following modal will then display:

The modal will load on the ‘Shift Details’ tab. From here you can edit information such as ‘Start Time’, ‘End Time’, ‘Unpaid Break’, ‘Labels’ & whether or not you wish to mark the shift as overtime.

Editing the Shift Location:

You can also change the location of this shift by clicking on the location displayed at the top of this modal. Once selected the below modal will display:

On this screen, you will be required to select the ‘New Location’ from the drop-down menu. Once selected the system will automatically pick up the shift details for the new location as displayed below:

If required the shift details can be edited from this screen. You can also check the ‘Notify Worker’ check box if you wish for the worker to be notified of the location change. Once you’re happy with the changes select the green ‘Confirm’ button.

Reassigning the Shift:

If you navigate to the ‘Assign Person’ tab, the modal will display as follows:

Here you can select the green ‘Reassign Shift’ heading to display the following modal:

At this stage, you will be required to select the ‘Employment Status’ to indicate if you wish to reassign this to an employee or locum.

Employee

If you select ‘Employee’, you will then be required to search for the employee you wish to reassign the shift to. Once selected you’ll also be granted the ability to ‘Notify Employee’ of the shift change by checking the available checkbox as displayed below:

At this stage, you must click on the green ‘Confirm’ button to save your changes.

Locum

If you select ‘Locum’, you will then be required to select the ‘Position’ before searching for the locum you wish to reassign the shift to. Once selected you’ll also be granted the ability to edit the ‘Candidate Source’ & the ‘Hourly Rate’ as displayed below:

At this stage, you must click on the green ‘Confirm’ button to save your changes.

this screen you’ll be able to edit the ‘Shift Details’, alternatively you can utilise the tabs on the left-hand side of the above screenshot to also view the person assigned, shift notes, clock-in events & shift events.

Once you’re happy with the changes you’ve made, select the green ‘Save Changes’ button on the bottom left-hand corner of the above screenshot. The shift will then update on the Rota calendar.
