How to copy a shift via Rota (single or multiple dates)

Use this guide to copy an existing shift and republish it across multiple dates. This works for all shift types (employee and locum).

Before you start

  • Access is permissions-based. If you can’t see copy options, ask a Company Admin.

Steps

  1. Open Rota
    Go to Rota from the main navigation.

2. Find the shift
Filter by Dates, Location, Job Types, or Labels to locate the shift.

3. Open the shift menu
In the shift cell, click the downward arrow (top-right) to open the dropdown.

4. Choose Copy Shift
Select Copy Shift.

5. Select dates

  • In the calendar, click all dates you want to publish the copied shift on.

  • Use the arrows to move between months.

  • Click Next (green).

6. Notify worker (Employee Only)

  • Choose whether to notify the employee/assignee about the new shifts.

  • Click Next (green).

7. Review & submit

  • Review the summary of shifts to be created.

  • Click Submit (green). The copied shifts are added to the rota.

Tips

  • Use filters first to avoid copying the wrong shift, especially on busy rotas.

  • After copying, spot-check a few new entries (times, location, rate where applicable).


Troubleshooting

  • Copy Shift not visible: You may lack permissions or the shift is locked; check with a Company Admin.

  • Unable to Copy Shift: Ensure the user isn’t presently scheduled to work elsewhere on the selected date.
